Understanding Email Protocols
One of the most common questions we get is "Why do my emails disappear?" This is often due to an outdated configuration. Understanding the difference between POP3, IMAP, and Exchange is key to a happy email experience.
POP3 (The Old Way)
POP3 (Post Office Protocol) was designed when people only had one computer. It downloads the email to that computer and deletes it from the server. If you check email on your phone afterwards, it looks empty. We recommend avoiding POP3 in 2026 unless you have a specific storage reason.
IMAP (The Standard)
IMAP (Internet Message Access Protocol) leaves the email on the server. If you read an email on your tablet, it is marked as 'Read' on your laptop. If you send a message from your phone, it appears in the 'Sent Items' on your PC. This is what we configure for most personal users (Gmail, Yahoo, BT).
Microsoft Exchange (For Business)
Exchange takes syncing a step further. It syncs not just emails, but also your Contacts, Calendars, and Tasks. If you add a client's number to your phone, it appears in your Outlook address book instantly. This is the gold standard for business efficiency.

Why are my emails going to Spam?
This can happen if your IP address is blacklisted or if your "Sender Score" is low. For businesses, we fix this by configuring SPF, DKIM, and DMARC records on your domain to prove you are a legitimate sender.
Can you transfer my old emails to a new computer?
Yes. If you use Outlook, we transfer your PST files. If you use webmail, we ensure you can log in and access all historical data on the new machine.
